RULES OF USE
TERMS AND CONDITIONS
A4 Sounds reserves the right to review, update or change any rule of use at the studio as required to ensure the best possible environment for staff, members and others who may access the building and/or in response to other factors which may affect the operations and sustainability of the studio. A full list of studio rules will be available on our members’ forum and these should be considered an extension of this agreement.
Any updates or changes to rules of the studio will be posted to the forum and should be considered the most up to date information available. Any breach of these rules by any member will result in the appropriate disciplinary procedures described in this document being used.
FEES
Monthly Fee Subscription
All fees will be paid via monthly subscription via the A4 Sounds website using our online payment system, and deducted automatically on the same date for future months. The total monthly fees are inclusive of utilities and the daily use of shared workspaces and shared facilities. Please note that some tools in our facilities are not accessible by members or included in your membership. These are referenced below and described in our workshop toolkit. Additional fees to cover materials and facilitator time will be applied to any training or workshops offered throughout your membership period. Payments for any additional support offered will be made separately to your membership fees.
It is the sole responsibility of the member (licensee) to ensure that all membership fee payments are up to date and paid on time. This includes
Checking and keeping track of your monthly payments via your account and email. Your account can be accessed via www.a4sounds.org/my-account.
Ensuring your payment method / card details are up to date on your account.
Communicating with A4 Sounds around any potential difficulties in payment or any missed payments.
Monthly Fees Due
The total fees due at the beginning of each month are described above under ‘Membership Modules’. These fees will be applied to your first subscription. Any updates to monthly fees will be applied directly to your subscription including the addition or removal of membership modules. Your online account is an extension of this membership agreement and will illustrate the most current and up to date agreed upon monthly fees between A4 Sounds (licensor) and Member (licensee).
Deposit
A deposit of one months’ fees is payable at the beginning of membership. This will be held by A4 Sounds for the duration of your membership (licence agreement) and returned within the two-week period following, if the three conditions below are met:
The last day of your membership has passed (final day of the 30 day notice period).
Your key has been returned to a member of staff, your desk and/or locker is emptied and any items that belong to you have been removed.
There are no outstanding arrears on your account.
Where not all three conditions have been met following the two-week period, the following steps will be taken:
Outstanding arrears on your account
Any outstanding arrears will be deducted from your membership deposit
Where a balance of your deposit remains, this will be returned to you.
Where a balance of fees remains owed to A4 Sounds, a payment link will be sent to you. Payments should be made in full within 14 days.
Key not returned to a staff member
If after a 30 day period your key has not been returned:
A fee of €10 will be charged and taken from your deposit.
A4 Sounds retain the discretion to either
Take further action to reclaim the key and retain the balance of the deposit owed until it is returned.
Return the balance of deposits where due.
Minimum Sign Up
There is a minimum sign up of three months.
Late & Missed Fee Payments
If a monthly payment fails online you will receive an email alert. Payments will be automatically retried again by our payment system.
On receipt of this alert, or if you have knowledge of a payment failing or being missed you should:
Ensure that funds are available in your account for the payment retry.
Notify admin@a4sounds.org if there are any problems with your payment or ability to pay.
If your payment fails again, we will inform you by email. If payment is not received within 5 days, and/or we receive no communication from you:
A warning letter email will be issued regarding a cancellation of your membership.
A second warning email will be issued 7 days later.
If a payment is not received within 5 days of the second warning and no attempt at communication has been made with A4 Sounds your membership will be cancelled automatically. We will ask for your key to be returned, any items to be removed from the premises.
Fee Arrears
When missed payments cannot be collected via our online system, payments can be made via our arrears link here: https://a4sounds.org/shop/a4-membership-fees-arrears/
Under some special circumstances, and where an effort has been made to communicate with A4 Sounds regarding fee arrears, a monthly payment plan may be agreed upon between the member and A4 Sounds. Payments should be made on time via our arrear link. Payment plans are at the discretion of A4 Sounds and not guaranteed.
Ending your membership:
There is a minimum sign-up of three months for studio membership.
Ending your membership during the minimum sign-up period
The full costs of the three months must be paid in full.
30 days notice must be given at least 30 days before the final day of the three-month period.
Deposits will be returned as described in 1.3 Deposits above.
If the minimum three-month period has passed and you would like to end your membership:
30 days notice must be communicated by email to members@a4sounds.org.
Any membership fees which are due during this period must be paid as normal by subscription.

Following the 30 day notice period:
Your membership ending date will be calculated as 30 days following the email date when the 30 days notice was received and communicated by email.
Any outstanding fees owed to A4 Sounds, or fees owed to the member will be calculated using the original subscription date and the membership ending date.
The deposit paid will be subtracted from the outstanding fees total, to give the Final Account Balance.
An email will be sent to you outlining your Final Account Balance. This will include your original subscription date, the date notice was received, your membership end date, any outstanding fees either owed to A4 Sounds or to the member, the deposit amount received at the beginning of your membership. The email will also include the process of returning or paying any outstanding balance including conditions which should be met within a two-week period.
Deposits and/or fees will be returned where applicable within a two-week period as described in the ‘Deposits’ Section above.
If a 30 day notice period is not received
If a member communicates they wish to end their membership a 30 day notice period will automatically be added from the day they have communicated this to us.
Where no communication has been received and there are fee arrears A4 Sounds will use the last date an attempt to communicate was made and the time period for a response given as the beginning of the notice period. All fees must be paid up to the end of this notice period.
MASKING POLICY
We are proud to be one of the few spaces in Dublin that have continued a masking mandate to protect our studio members, visitors, and other users of the space against the spread of airborne pathogens; as part of our ongoing commitment to provide an accessible and inclusive working environment for artists and audiences.
To this end, we require that high quality masks;FFP2/FFP3/KN95, are to be worn indoors at all times.
Low quality masks including cloth and surgical masks are not permitted to be worn, unless an exemption based on accessibility needs has been granted.
Mask Kit
On the first day of your membership you will receive a mask kit. This will include a mask case to keep in your bag and five N95/FFP2 masks.
This kit is to get you started at the studio and allow you time to purchase your own supply.
Please refer to our masking policy and resources on our members forum for more information on how to use, where to buy or where to access free masks.
Accessibility Exceptions
A4 Sounds understands that accessibility is broad and this includes persons who cannot wear masks for different reasons. We will accommodate members who this applies to. Please discuss this with our member engagement officer either in person or via members@a4sounds.org. All information shared or discussed will remain confidential between the member and A4 Sounds staff.
Respecting Confidentiality
Please note that waivers on our masking policy are for the purposes of individual accessibility needs which are private to that person. If a member is not wearing a mask while indoors it should be assumed that permission has been granted and the reason for this is confidential between the member and A4 Sounds’ staff only. We ask that all members respect the confidentiality of individual members’ circumstances and do not inquire or ask personal questions of any individual.
GENERAL STUDIO USE
A4 Sounds is a not-for-profit organisation running on a very tight budget. To ensure that we remain sustainable as an organisation and our staff, members and visitors are safe and happy we ask you to abide by the following do’s and don’ts.

SHARED WORKSPACES
All members have access to our shared workspaces. This means that no shared workspace can be claimed by any one member and all members should have fair access to the space they require at any given time.
To ensure fair access to all members
Please be aware of other members in the studio and be considerate of their needs.
Please use a workspace that is appropriate to the scale of your needs that day to ensure others have access to areas they may need. Do not use larger desk areas or benches unless you need to. For example
If you are working on your laptop or tablet for the day, please use a smaller desk.
If you are researching, reading or similar, please use a smaller desk.
If you have been assigned a private workspace please use this for any work unless you need to use a specific facility such as a large bench, printing press and so on. Do not use the general workspace desks for day to day work.
Please clear and tidy the workspace you are using at the end of your day to ensure it is clean for the next person to use. This includes wiping up or cleaning any paint, glue or other material from the surface, returning tools, and clearing all your belongings.
Please store all your personal belongings, materials and equipment in a locker or take home with you at the end of your day.
Any equipment or materials which are left out, or not in designated areas will be assumed shared use by other members unless prior permission has been granted. Permission to store equipment or materials is at the discretion of A4 Sounds. If permission is granted to one member it should not be presumed possible for all members. Decisions will be made on a case by case basis only.
All works in progress should be labelled and dated. Works in progress can be stored on the walls, designated storage areas and shelves.
Please remove artworks when completed from the studio, or store in a storage locker.
Due to space restrictions, long term storage of artworks is not permitted on the premises. This includes uncompleted works which have been stored for a long period and not actively being worked on day to day. Our building manager will regularly be carrying out tidying and clear outs of all areas of the studio. They will inform members on the forum and on site when areas are being cleared.
Ensure that walkways and passages to and from your workspace are kept clear and free of hazards.
Please feel free to use shared materials which will be available in designated areas around the building. In the blue room these will be found on the white shelves. If using large quantities of these materials we ask you to make a donation into the donation box available.
Please feel free to donate materials for others to use including paints, paper etc. Please ensure the items are in a good condition, ie paints are not dry etc. If unsure please check with our building and facilities manager before storing.
The use of personal electric heaters is not permitted in the studio. This is due to the high running costs. If you feel cold at certain times of the day and/or it’s uncomfortable to work please email building@a4sounds.org. Let us know the day of the week and time and we will do our best to adjust the heating.
To ensure a comfortable working environment for all members
Please be mindful that others are working in the shared workspaces and do your best to not distract them.
Do not interrupt other members while they are working, unless necessary or you have established it is ok to do so.
Do not make unnecessary noise in shared areas; do not play loud music, do not use tools which would be better suited for the workshop, do not make loud phone calls or zoom meetings, use the garden to hang out or have conversations with other members.
Do not eat or drink in any of the shared workspaces. Please eat and drink in the heated garden area.
PRIVATE WORKSPACES
There are three private studios in the building. Only members who have been assigned private workspaces may enter and use the private studios.
If you have not been assigned a private workspace:
Do not enter the studio spaces unless invited by a member from that studio and that member is present.
Do not use anyone’s workspace, or use any vacant workspaces or store work in private spaces.
Be mindful and respectful of other members using their workspaces while you are present.
If you have been assigned a private workspace
Private studios are also shared and as such the same rules apply as those in our open shared workspaces.
Masks are to be worn at all times.
Do not use or borrow a studio member’s materials or equipment without permission.
Do not store belongings or materials outside your own workspace.
Ensure that walkways and passages to and from your workspace are kept clear and free of hazards.
Do not eat or drink in workspaces, please eat and drink in our heated garden area.
Do not make unnecessary noise in your studio; do not play loud music, do not use tools which would be better suited for the workshop, do not make loud phone calls or zoom meetings, use the garden to hang out or have conversations with other members.
The use of personal heaters is not permitted. If you are cold or the temperature of your studio needs adjusting please contact building@a4sounds.org to let us know. Please include the day and time your studio feels cold or uncomfortable to work in.
Do follow health and safety procedures at all times.
WORKSPACE VERSUS RESIDENTIAL SPACE
A4 Sounds is not a residential facility. Sleeping over in the studio is therefore forbidden.
VISITORS AND PROJECT HELPERS
VISITORS
Only A4 Sounds members are permitted onto the property at St Joseph’s Parade, Off Upper Dorset St, Dublin 1 unless prior permission has been sought or a public event is taking place.
If you are requesting visitors on site please use our garden where possible to avoid disrupting others working around the building.
Visitors are not permitted access to our facilities or shared workspaces unless accompanied by a studio member and permission has been given.
For health and safety reasons and insurance reasons, visitors may not use our facilities.
Visitors must sign in and out and abide by our health and safety policies. A4 Sounds does not accept responsibility for the health & safety of those without permission or training to be on our premises or availing of any of our facilities.
Please note that A4 Sounds may temporarily restrict access of visitors to the premises and update or change access depending on the needs of the wider studio community. We will always email and post any updates and information to the members’ forum.
PROJECT HELPERS
We understand that from time to time we all need help on projects from one or more people, and that a lot of people, including ourselves, work collaboratively.
However, we are working with a limited amount of space and a high number of members. Our members must take priority.
We have some rules regarding project work:
Members must request permission in advance from a studio manager for non-members to work on site via members@a4sounds.org A minimum notice period of one week is required.
Large numbers of non-members are not permitted unless our event space is hired to create a separate workspace.
Non-members must fill in a short-term membership form, pay a small fee (details below). They can only gain access to the building with a full-time member who must be on-site with them always.
Members can have up to 2 helpers on-site at a time.
Please note there may be times helpers/non-members are not allowed to access the studio or facilities. Any changes to access will be emailed to all members or communicated if access has been sought.

- SHARED FACILITIES
GENERAL
A full list of rules of use on all of our shared facilities can be found on our members forum and will be communicated at any facilities training session. Please note these guidelines are an extension of this agreement. Any updates or changes to rules of use of facilities will be posted to the forum and should be considered the most up to date information available. Any breach of these rules and the disciplinary procedure described in this document will be used. Please note: the Audio-Visual Room and Gallery operate independently to the Studio and are not included in shared facilities.
PRINT AREA
- Please ensure you have taken all required training before using the print area, including screen printing, how to use the printing press and heat transfer press.
Do clean and tidy all work surfaces and equipment after use.
Do clear the print storage rack after print runs are dry and complete.
There are some shared consumables including inks and paper for test prints only. Please bring your own inks and paper for final print runs.
There is a storage area for members inks, you may store inks short term here.
There is a storage rack for smaller screens, you may store your screens here. If this area gets busier and space is at a premium/space becomes scarce will we review and update storage for member screens.
Larger screens can be stored in the green room under the large workbench. Again if the print area becomes busy and storage of all members screens becomes difficult we will review and update storage rules.
If you plan on printing for more than 1 day, please book the area in advance. You can do this by putting a sign up in the printing area with your name and what dates and times you intend to print. You may book up to a maximum 3 days in a row in advance.
In general the print area is not busy and accessible daily. Our member engagement officer and building manager will monitor the area on a regular basis. If deemed necessary we will bring in a booking system for busy periods. This will be communicated to members via the forum.
No food or drink should be consumed in the print area.
ELECTRONICS AREA
Please ensure you have taken all required training before using the electronics area.
Do clean and tidy all work surfaces and equipment after use.
There is a small resource of components for testing ideas and experimenting. Please feel free to use these, and replace in future if you can.
If you need to use a large amount of consumables please purchase your own.
Works in progress can be stored on the shelves above the electronics area. Works should be removed when complete.
If you plan on using the area for more than 1 day, please book the area in advance. You can do this by putting up a sign with your name and the dates and times you intend to use it. You may book up to a maximum of 3 days in a row.
The electronics area is generally quiet, it may be used as a laptop or research area by other members if not in use by anyone for electronics use. However, if a member needs to access the tools and equipment in this area, you should move to another area of the studio.
No food or drink should be consumed in the electronics area.
LIBRARY & QUIET AREA
This is a designated quiet area in the studio for members who may need it. This may be due to sensory issues around sounds, scents, a need to rest, have some time out to reset, or need to concentrate in silence for long periods of time. This room also houses our small library and The Forgotten Zine Archive. With this in mind the following rules apply:
Please refrain from making noise in this room during the day time up to 6pm. This includes not using this room for phone or video calls, and keeping talking to necessary communication and at a low volume.
No strong scents should be worn or used in this room.
This is a clean room to ensure the protection of our books and the zine archive. No wet materials including paint, glues and similar to be used. No materials like glitter or similar to be used.
Only computer work, research and reading to be carried out in this room.
Quiet Room Meetings and Group Activities
In the evenings from 6pm, this room may be booked by groups for meetings or activities.
Permission to be sought in advance via members@a4sounds.org.
A fee may apply to some activities including any public meetings or activities. If a fee is required this will be communicated at the time of booking. An invoice with a booking link will be forwarded ahead of the booking.
GREEN/TEXTILES ROOM
This room contains a large work bench and a range of textiles tools and consumables
Please feel free to use the large work bench or smaller sewing bench when required.
Please be mindful of others who may need to use the benches and only use it when you need to spread out over a larger space or to use the sewing machine or textiles tools.
Please share the larger bench if others also need to use it and neither person requires the full area.
Do not use toxic materials or materials which would be more appropriate for the workshop in this room, such as clay and so on.
Please be mindful that this room is intended more so as a textiles room, so any materials which may inhibit the use of fabric should be used elsewhere. While paints or inks may be used in textiles, what we mean in this instance is that if you are painting or making in a more traditional painting way on canvas or board, please use the blue room. If you are using wet materials on fabric in this room, please ensure that you fully clean the bench after use to ensure the next person’s fabric is protected.
Please clear both benches of all materials and works when you have finished working.
Benches should not be used as storage areas.
Works in progress can be stored on the shelf, hung on the walls or from the ceiling safely.
Works should be removed when complete.
No personal materials or equipment should be stored in this room.
Under certain circumstances permission to store materials or equipment may be given. Permission is at the discretion of A4 Sounds. If permission is granted to one member it should not be presumed possible for all members. Decisions will be made on a case by case basis only.
If this area is quiet or not in use any member may use it for regular studio work, however if some arrives and wishes to use the textiles tools or larger bench please move to another area of the studio. Priority is always given to those who need more space or use of the textiles tools.
Please return all tools to their storage space.
Please feel free to use shared materials and consumables.
If you need large quantities of fabric, thread, wool or other materials available please check with our building and facilities manager if the materials available can be used or purchase your own.
Please feel free to add donations of materials to fabric, thread, wool etc. If making large donations please check with our building and facilities manager to ensure it is ok to prevent build up of unnecessary items.
When donating fabrics, please donate only pieces of fabric which can be used easily by others. Do not donate clothes or similar items which are less useful and will take up valuable storage space.
No food or drink should be consumed in the green / textiles room.
DARKROOM
This room contains all equipment relating to analogue photography processes.
Do not use the darkroom unless you have either received darkroom training, or darkroom navigation for those who are darkroom trained prior to joining.
Members can store darkroom chemicals and photographic paper in the storage areas provided. Members should label their materials with their name, and date all chemicals.
In the event that the darkroom becomes busy and there is a high demand for storage we will review the rules of use of the space.
Do not use materials owned by other members.
Please follow all health and safety procedures for the darkroom outlined in your training and on the members forum.
Please remove all works when completed and dry.
You may book the darkroom by adding your name, dates and times of use to the door.
You may book the darkroom for up to 3 consecutive days of 4 hour sessions.
If there is a high demand for this facility we will review and introduce a new booking system.
No food or drink should be consumed in the darkroom.
WORKSHOP
Workshop training is required before the use of hand tools and power tools. The workshop may be used for messier materials such as paint or clay without workshop training.
IMPORTANT: Protective gear must be worn at ALL TIMES by ALL PERSONS if 1 person is using any power tool or material which generates NOISE, DUST and/or TOXIC FUMES.
Members are not permitted to use the workshop tools and materials without receiving workshop training.
After workshop training has been received and A4 Sounds are confident that a member can use tools safely, shared hand tools and small power tools can be accessed.
Any use of hand tools and power tools by members without prior training is at their own risk and they will not be covered by studio insurance.
Members are not permitted to use larger power tools including bandsaws, circular saws and similar at any time.
A4 Sounds will not be liable for any use and misuse of tools which members are not permitted to use and which have been communicated are not covered by insurance. All tools which are not available for use will be clearly labelled.
In some circumstances members may have prior professional training in our larger power tools. If A4 Sounds is confident that a member can use them safely, permission to use may be granted. This is at the discretion of A4 Sounds and only if the member has their own personal liability insurance in place. Proof of insurance must be shared with our building and facilities manager before use. Any use of these tools will be at the risk of the individual member and will fall under the scope of their own insurance.
Appropriate protective clothing and safety gear must be worn at all times when using the workshop. This includes
No open toed shoes at any time are allowed in the workshop.
Dust masks must be worn by all persons if one person is using tools which produce dust.
The dust extractor must be turned on when any tool is in use that produces dust.
Masks must be worn by all persons if one person is using a material which produces toxic fumes, these may include varnishes, glues, paints and so on.
Extremely toxic materials should be used outside, or not used at all where possible.
Ear defenders should be used by all persons if 1 person is using loud tools or producing loud noises.
Protective clothing should be used where relevant. A4 Sounds has provided some basic overalls which can be used to protect clothing from paint and dust.
Please keep protective gear clean for others to use hygienically. Before and after using any masks, eye projection or ear protection you should thoroughly clean them using alcoholic wipes provided.
A4 Sounds provides protective clothing and gear in our workshop. Shared gear is intended for those who do not regularly use the workshop and for training purposes. For hygiene reasons, If you will use the workshop on a regular basis please purchase your own safety gear .
No tools may be borrowed by members and taken off site.
If you use a tool in another area of the studio, it should be returned to the workshop when finished.
Workshop Access Times
The workshop is available for use 7 days per week for any activity which does not require the use of power tools. For example to paint or work on a larger scale in the open area.
Power Tool Use
Mon – Fri: 10am – 9pm and only when one other person is working on the premises
This is for 2 main reasons:
Health & Safety. In case of an accident another person must be onsite to alert emergency services if required.
Respecting our neighbours. Our workshop is adjoined to an apartment block and faces onto a row of residential houses. Please be respectful of their peace by not making noise outside of these times.
Ladder Use
Ladders must not be used unless ladder training has been provided and at least one other person is present to hold the ladder.
- COMMON AREAS
KITCHENS
COMMUNAL KITCHEN
This area is located at the top of the stairs and nearest to the toilets.
This area houses basic kitchen utensils including plates, cups and cutlery which are shared use, kettles for making hot drinks, and a wash and drying area for dishes.
Food and drink items stored in this area should be considered communal and can be consumed by all members
Members are encouraged to move food or items they no longer want or need to the fridge in this area for others to avoid food waste.
STUDIO KITCHEN
This area is located inside the doorway to the main shared workspaces.
This area houses storage space for food and appliances for heating food including a toaster and microwave. A4 Sounds also stores equipment for events which are not for daily use by members. These will be cleared labelled ‘For Event Use Only’.
We ask all members to be mindful this area is a shared space used by a large number of people;
Members can use this area for the heating and/or preparation of food; such as sandwiches, light lunches or reheating food prepared at home.
Do not use the microwave or toaster to cook meals from scratch, including cooking raw meats or fish which may cause contamination of shared utensils and/or food poisoning.
Please be mindful that this is a closed area without windows or air extraction so strong odours will linger for long periods. Please avoid foods with strong lasting odours such as fish where possible, or if you are heating certain food that may cause a lingering smell to open the door to let the air circulate.
Do not use equipment, appliances, utensils, or glassware that is labelled ‘For Events Only’. Dishware and utensils for day to day use can be found in the Communal Kitchen.
MAINTENANCE & CLEANING
While A4 Sounds are responsible for general maintenance of the shared kitchen area including emptying bins, ensuring appliances are in good working order, and dishware and utensils are available for daily use, they are not responsible for the tidying and/or cleaning after use by members.
Studio members are responsible for the cleaning and maintenance of the shared kitchens after use including:
Washing any dishware or utensils used
Cleaning and wiping down countertops
Placing rubbish/waste into the appropriate bins
Washing all recyclable materials before placing them in the green bin
Washing all glass waste before placing in glass bin
Wiping down the microwave dish and walls after use
Removing all food or drinks from the fridges no longer wanted or before they have perished
Cleaning any areas of the fridges which may have become contaminated or dirty as a result of food that has perished that belongs to them
Returning dishware and utensils after use to their storage place.
STORING FOOD
Food can be stored in three areas:
Shelves
Vegetarian Fridge (Left)
Mixed Meat and Vegetarian Fridge (Right)
Due to size limitations, the freezer should not be used to store food.
To avoid misunderstandings and/or disagreements we ask everyone
To only consume food or drinks from the Studio Kitchen which you own, or have permission to use
To regularly check that any food that you have stored has not perished, is no longer in date, or no longer wanted to ensure other members have space to store food and to avoid contamination of food belonging to others
That any food or items you no longer want or need are moved to the communal fridge for others to share to avoid food waste
That you label your food with your name and/or date to help staff avoid accidentally binning items during monthly clearouts
To not store meat products in the vegetarian fridge
To not store raw meats in any fridge
STORAGE LOCKERS
Lockers are available for members to store personal belongings, materials and items used at the studio. There is an additional monthly fee to avail of a storage locker. Lockers can be added or removed from monthly subscriptions at any time throughout your membership. Please contact members@a4sounds.org to ask about availability and/or admin@a4sounds.org to add or remove a locker to your subscription.
If you have a storage locker subscription
Members are responsible for providing their own padlock for the smaller upstairs lockers
If you no longer need a locker, please remove items on/before the last day of your rental period to avoid additional charges. Any items stored beyond the agreed period will be charged at the monthly rate until they are removed.
Please keep lockers in a good condition, and clean/clear any dirt or dust which may have accumulated while in use if/when you are ending rental
If you are sharing a locker with another member, please be mindful of the space you are using and ensure both parties have fair storage space

GARDEN & OUTDOOR AREA
Our garden/outdoor area is located through the gallery on the ground floor. This area is used by both studio members day to day and for public events.
DAY TO DAY
- Members are asked to eat and drink in the garden/outdoor area
- There is a heater which can be turned on and off when required. The remote control for the heater is located in the bench under the pergola. Please switch off after each use.
- Large bins are located at the gate, Glass, Recycling and General. Please dispose of materials in the appropriate bins
- Please use the garden for socialising, longer conversations and/meetings
- The door to the garden area must be locked when not in use. Please ensure other members are not using the garden before locking
- Please respect this area and use ashtrays and bins provided.
- Please do not throw waste or materials into the planters regardless if the material is organic or not.
- We welcome gardeners throughout the year, but please ask first before adding anything to the soil, making large changes, or pulling anything out. If you are unsure what might be a weed or not please ask!
- Good to know: Your front door key also works on the back door. So if you accidentally close one of the fire escape doors behind you or the gallery door is locked accidentally, you can use your key to get back into the studio
BIKE STORAGE
- Bikes should be stored in the bike rack under the mezzanine.
- During public events bikes can be stored in the workshop to ensure members have access when needed, avoiding delays when trying to leave, and/or to avoid disruption during live events
- During longer exhibition runs, where the installation may result in a lack of access through the gallery with bikes, they can be stored on the street. Please avoid using the workshop facility to store bikes day to day to ensure the facility can be used safely and is easily accessible
- Staff members will advise or alert members to any periods when bike storage may be restricted
TOXIC MATERIALS
Where possible we ask you to consider using alternative materials, but we understand this is not always possible. If using toxic materials which give off a lot of fumes please use the outdoor area.
- Wear a respirator and other appropriate protective clothing/gear
- Use an area away from where people are sitting or eating, for example in front of the oil tank or under the mezzanine
- Put down ground sheets or other protective material to avoid spraying or damaging outdoor structures or degrading the appearance of this space. Please be aware that this area is primarily a social space for studio members and public area for events and should be respected. Any damage to structures, walls, furniture, planters or plants as a result of using any materials including but not limited to spray paint, paints, varnishes, glue, should be repaired immediately and areas returned to the condition before use.
PUBLIC EVENTS
Members have access to our garden area at all times. This is the eating and socialising area for the studio. However, from time to time during public events the main doorway to the garden may be restricted. This is to avoid disruption during events and exhibitions or sometimes there may be private events/meetings or recordings happening where we need to be respectful of privacy and noise levels. During these times we will place signs on the gallery door alerting you.
ALTERNATIVE ACCESS
The outdoor area can also be accessed via the Quiet Room / Library down a set of outdoor stairs, and if appropriate via The Audio-Visual Room towards the workshop and back of the gallery.
NO ACCESS
On very rare occasions, an event or activity may be taking place where it is not appropriate for persons outside of the group to be present including staff members. This will only be the case under circumstances where the privacy of participants or members of the group is crucial. Members will be notified ahead so they can make alternative plans for breaks.
GALLERY
The A4 Sounds’ Gallery is independent of the studio and facilities and access is not included in studio membership. The gallery has its own rules and procedures which will be communicated directly to any person intending on hiring the gallery.
Gallery Hire
- Members may hire the gallery throughout the year if it is not in use and with prior permission.
- Permission must be obtained via email to a member of the gallery team via indigo@a4sounds.org or hello@a4sounds.org.
- Usage is not guaranteed and will be determined by availability, proposed use, and will be at the discretion of the gallery team.
- A hire fee will be applied for all gallery use. Members will receive a 40% discount on any hires.
- A hire agreement must be signed in advance.
- Any use of the gallery without permission will result in our disciplinary procedure being followed and a hire fee will be charged.
AUDIO VISUAL ROOM
The Audio Visual Room is a storage area behind the gallery which houses our audio-visual equipment used for events and exhibitions. This is a gallery resource and is not a shared facility. However, there are some items available to members to use including lighting kits, photography backdrops, analogue photography and film equipment and audio recorders. In addition to this area, other audio-visual equipment may be stored in other areas of the studio including the electronics area and computer areas. The same rules of use apply to equipment throughout the building.

Please be mindful that we are operating with limited resources and our ability to replace lost, stolen or broken equipment is extremely limited. As such we have a borrowing procedure in place which should be followed at all times.
PROCEDURE FOR BORROWING EQUIPMENT
Some equipment may be borrowed by members if it is not currently in use by A4 Sounds for exhibitions or events.
A4 Sounds’ exhibitions and events take priority at all times. A4 Sounds’ reserves the right to request the immediate return of equipment if it is needed.
For larger or more expensive items a small deposit may be required. This will be communicated in advance.
Some items require memory cards, batteries or similar consumables. These will not be provided.
SIGNING OUT EQUIPMENT
- Permission to be sought in person or via indigo@a4sounds.org to borrow any audio-visual equipment from the studio.
- At least one week’s notice must be given to borrow equipment. This is to allow time to arrange, check the working order, and prepare any items for collection.
- Equipment may only be borrowed if a member of staff is onsite to sign the items out.
- Equipment must be signed out by both the member and member of staff in person.
- Equipment may be borrowed for a maximum of 1 week. In some cases permission may be granted for longer periods. This is at the discretion of A4 Sounds and if the equipment is not in high demand, or will be used at any exhibitions or events.
RETURNING ITEMS
- Equipment must be returned to a member of staff in person.
- If a member of staff is not available, equipment may be returned to a drop off area in the Audio-VisualRoom. Members should email staff to say items have been returned immediately, with a time and date of the drop off. Please note that if items are returned in this way and are damaged on inspection the member may be liable. We strongly recommend dropping items off with staff members to ensure sign off on the condition of the equipment.
- The member of staff and the member will sign the equipment back into storage.
- A member of staff will inspect the equipment to ensure everything is included and in the same working condition when borrowed.
- If a deposit was paid, this will be returned once sign off on the condition of the equipment is complete. This may take up to 7 days.
BROKEN OR DAMAGED ITEMS
If any piece of equipment is returned and is broken or damaged, the member will be liable for repairs or replacement of the equipment.
In the case of broken equipment, items should be replaced with the same model or a model with the same specifications. The items should be in the same or better condition than the item at the time of borrowing. This can be agreed upon with A4 Sounds in advance of purchase/replacement.
In the case of damaged equipment, items should be repaired by a professional and/or experienced person. This can be agreed upon with A4 Sounds in advance. In some cases the cost of repair may be higher than replacement, in this case, the item should be replaced.
In some cases, vintage or older technologies may be difficult to repair and/or replace. In this situation A4 Sounds will discuss options with the member and come to an agreement.
HEALTH, SAFETY & WELLBEING IN THE STUDIO
GENERAL SAFETY
- Keep all emergency exits, stairs and walkways clear of any obstruction.
- Avoid trailing leads or cables which can create trip or electrical hazards.
- No equipment may be used if the mains cable, plug or socket is damaged and any defects should be reported immediately to the building manager.
- Equipment should be switched off when not in use.
- Broken or worn flooring, and light failures should be reported immediately to our building manager
- Smoking is not permitted inside the studio or on the emergency exit stairway.
- Do not overload shelves. Avoid storing heavy items on higher shelves as they may fall from it.
- Never stand on chairs or desks when reaching for height. Always use a step stool or an appropriate stepladder.
- Do not carry loads such that the weight may be dangerous.
- If hazardous substances e.g. solvents or solvent-based glues are unavoidable they should be used in the yard.
- Bicycles are not permitted inside studio. Bicycle parking facilities are available in the yard.
- The workshop, darkroom, screen-printing & electronics areas have their own specific safety rules which must be observed. Details can be found in this toolkit.
WORKSHOP SAFETY
General
SAFETY FIRST! The workshop is an environment where incorrect or inconsiderate working methods or tool use can lead to injury to yourself or other people. Please ensure you are working safely at all times.
Please leave no unattended trailing wires or extensions across the floor where they would present a tripping hazard.
Always use the provided PPE when necessary – eye protection, ear protection, dust masks / respirators and work gloves are all provided in the cabinet just inside the workshop doors.
Familiarise yourself with the location of first aid kits and accident report books, located beside the PPE cabinet just inside the workshop doors.
Familiarise yourself with the location of fire extinguishers at the rear of workshop.
Ensure materials are left and stored in a safe state. Do not leave materials in precarious positions, leaning against benches or blocking fire exits.
Be aware of those working around you. Do not grind or cut spraying others. Make sure others are aware of any particular hazards, noise, etc arising from your work.
Keep the workshop tidy and walkways clear of any obstructions. Tidy up after you finish working, sweep up or hoover up any sawdust, shavings etc and put all tools away where they belong.
Do not allow waste materials or offcuts to accumulate in your work area as you work – regularly deposit such material in the appropriate bins provided.
Be especially aware of folks that come through the workshop that are not aware of workshop safety. At times there are folks being brought around on tours of the building who may not be familiar with workshop hazards, so please be especially aware of these folks.
Storage of materials
Material storage is divided up according to “named” and “shared” materials. Clearly mark anything you are putting in “named” storage (eg with your name clearly written on masking tape secured to the material. Storage area is checked regularly, please ensure material is not in named storage for too long.
Make sure goods are securely stacked, and equipment is used to restrain stock and prevent unintentional movement if necessary
Ensure loads are correctly distributed on racking and racking is is not overloaded
Stock placement or retrieval is only carried out safely
Walkways are kept separate and are clearly marked
The number of times material has to be handled is minimised
PPE is provided and to be worn as required
Manual Handling
Each manual handling task is assessed and measures put in place where needed to avoid or reduce the risks
Task is organised to allow the use of mechanical aids (e.g. trolley) to avoid or reduce the need for manual handling
Task is organised so that handling is carried out between waist and shoulder height
Heavy or large or unwieldy loads are broken down into more manageable weights or sizes or suitable mechanical aids / team lifts are used
Work is planned to prevent handling over long distances or frequent repetitions
Bending, twisting and unstable postures are to be avoided
Tool use
Please ensure you have been given the introductory training to the workshop before using tools within the workshop.
Use the right type and size of tool for job, tools are to be used in accordance with their intended function only (eg never use a wrench as a hammer etc)
Inspect the tool before use to make sure it is in good working condition
If tools break or are faulty please make them unavailable to others and report the breakage.
Report any faulty tools. In the interests of safety, do not leave a faulty tool for someone else to pick up who is not aware of the risks. A half broken tool is WAY more dangerous than a fully broken one.
Please do not use other members’ tools without their knowledge.
If you are using your own tools in the workshop please be aware that you accept liability for their use and are insured accordingly.
When using power tools, use appropriate PPE, and ensure loose clothing, straps or jewellery that might get caught in moving machinery are not worn and that long hair is tied back.
Handle sharp-edged and pointed tools with care. Carry such tools with the sharp edge pointed down. Never carry sharp or pointed tools in a pocket.
Don’t carry tools up a ladder, place them on the tool shelf or tool area of top cap of ladder before climbing, or use a toolbelt instead
Clean and return all tools to where they belong after use
Dust Collection
When using power tools which produce dust (e.g. saws, sanders etc) always connect an appropriate method of dust collection – e.g. dust collection bag, or shop vac / hoover, to minimise loose dust produced in the workshop.
Sweep or hoover up any loose dust or shavings from floor and workbenches when you have finished working
Please make sure you wear respiratory protection, and be mindful of others working in the space too. MDF dust can aggravate asthma and other lung conditions, and exposure to hardwood and softwood sawdusts may lead to irritation or inflammation of the respiratory tract, while allergic reactions and irritation can lead to dermatitis
from exposure to fine wood dust of certain species
Spray paint – working outside
Please respect people’s lungs and only spray water-based spray paint inside (while using proper personal protection). For oil-based and acrylic paint, please spray outside, also using mask and eye protection, and minimise overspray with drop sheets or boards.
When spraying, sanding, cutting or grinding outside, please try to make sure that any dust or overspray is not going onto plants in planters or onto peoples’ bikes in the bike storage area.
Fire safety
Please make sure there are no piles of wood dust left under benches.
Any batteries or tools that have been left to charge should be unplugged at the end of the day
Any rags that have been used with thinners or other flammable liquids need to be let air dry outside and then put in the metal rag bin.
Familiarise yourself with the location and function of the fire extinguishers at the rear of the workshop. Do not block fire exits with materials or work pieces
No naked flames in workshop at any time, any work requiring blowtorch etc must be done outside
Casting resin/fibreglass
If possible, work outside until it sets.
Wear appropriate PPE
FIRE SAFETY
Fire Acton – On hearing the fire alarm
- Leave the building immediately using the nearest available fire exit. All fire exit routes are clearly indicated with the emergency signs bearing ‘a running man’ symbol.
- Do not stop to collect belongings.
- Close the doors behind you as you leave your room.
- Go directly to the Fire Assembly Point designated to your building (as indicated on the fire action notices).
- Follow the instructions given by fire stewards, fire assembly controllers and fire co-ordinators.
- DO NOT re-enter the building until authorised to do so by the Fire Brigade.
Means of Escape
- Ensure that you are familiar with as many as possible of the exit and fire escape routes from your building.
- Fire exits and escape routes must always be kept clear of obstructions, especially combustible items. It is an offence to obstruct a fire exit.
- Always ensure that fire doors are kept closed as they are designed to confine a fire and hold back smoke. Fire doors must not be propped or wedged open.

Your key to access the studio works for both the front and back door of the building.
If you’re locking the back door, double check there is no one in the garden so no one gets locked out.

PROJECT/MATERIAL WASTE & BINS
There are waste disposal areas throughout the building. They will be labelled for the appropriate use. If you have any questions or concerns about disposing of any waste materials or the best area to use a material for a project, please contact building@a4sounds.org.
ENVIRONMENTALLY CONCIOUS MATERIALS
We understand it’s not always possible and we ourselves inevitably have to use materials which can be damaging to the environment, but we ask where possible to use materials which have a low impact, can be disposed of safely, or use recycled materials.
SHARED MATERIALS AREAS
Throughout the building there are areas to drop materials for shared use. These could be materials no longer needed, or waste from finished projects. These areas are also resources for all members to access materials for free, or where possible making a small donation towards replacements. Full details of each area are described above under shared facilities and on the members forum. TOXIC/HARMFUL WASTE MATERIALS
There are some areas of the studio which use chemicals or materials which need to be disposed of in specific ways (not the general waste or green bin).
Please refer to the rules of use and how-to-guides for our different facilities for more information.

SPECIFIC WASTE MATERIALS
WOOD
In the workshop there are two wood waste bins.
- Fabricated wood or wood that has been painted (MDF, Plywood, Chipboard)
- Hard and Soft Woods
Please use the appropriate bins for the type of wood you are disposing of. Please remove any nails or screws before placing them in the bins. For larger offcuts they can be added to shared use for others to use and to avoid waste.
Fabricated woods that contain glues and other chemicals cannot be recycled or burned in fireplaces or stoves. Periodically we will dispose of this waste appropriately throughout the year.
Hard and Soft woods which are not varnished or painted can be disposed of more safely, composted, or taken home by members to use in fireplaces or stoves as fuel.
DARKROOM CHEMICALS
Please refer to how-to-guide for the darkroom regarding disposal of chemicals. Please use where needed the appropriate disposal tanks for any chemicals outside of those which are safe to put down the drain. A4 Sounds will arrange periodic disposal of any chemicals from the darkroom.
CERAMICS AREA
Please refer to our how-to-guide regarding disposal of any specialised glazes or chemicals. Please reuse clay wherever possible.
The pipe system in the studio is very old and blocks regularly. Please do not pour or drain clay in the wash unit upstairs as this will cause build up in the pipes.
Please remove as much clay material as possible from clay water, any remaining dissolved clay water can be poured directly into the drain in the yard. For larger clay waste please put directly into the general waste bin or bins provided in the ceramics area.
OIL-BASED PAINTS
Please avoid where possible. If using paint to cover large areas such as wooden boards, please use water based paints which dry faster and can be disposed of easily and do not create fumes.
Oil based paints should not be used in the upstairs studios as they produce odours which are harmful. If using oil based paints please use the workshop or garden area. If washing out tools please use the wash area only, and where possible try to use a non toxic solvent.
WHITE SPIRITS/SIMILAR SOLVENTS
Try to avoid using where possible. If you are using solvents to clean tools or brushes, please use the wash unit only, and use cleaning utensils from the appropriate area on the wall. These will be marked toxic/white spirits. After use please ensure to thoroughly clean out the wash unit to avoid cross contamination with other members materials, such as screen printing screens etc.
OTHER TOXIC CHEMICALS
Please avoid where possible. Please refer to the user manual of any chemicals and how to dispose of them safely. Some chemicals are flammable and pose a fire hazard, there is a bin in the wash area for rags or cloths which have flammable chemicals on them. Please ensure to keep the lid on the bin at all times
ELECTRONICS WASTE
Electronics waste should not be disposed of in the general waste bins. There is an electronics waste bin in the workshop. Please place any smaller items here. Throughout the year A4 Sounds will periodically bring to electronics recycling.
As the cost of recycling electronics can be prohibitive for large quantities, please take any personal broken electronics home to dispose of. This bin is for small items e.g. components or small parts, broken studio equipment only.
BATTERIES AND SHARPS
There are disposal bins for both batteries and sharps in the blue room and in the workshop. They will be labelled.
Please do not dispose of sharps or batteries in the general waste bins. Please use the appropriate disposal bins in either the Blue Room, or in the Workshop. Please use appropriate gloves and/or necessary safety equipment when handling sharps
OTHER MATERIALS
It is difficult to predict what materials may be used by artists and while we try to stay up to date with new materials and safer alternatives we won’t know about everything. A lot of our learning about new materials comes from the artists we meet. So if there is a material you think we should be aware of in terms of use and safety in the studio, please get in touch and let us know. We always welcome new knowledge from those with specialised skills especially around best practice when using, so do feel free to get in touch with building@a4sounds.org any time.
PRIVACY AND CONFIDENTIALITY
GENERAL
A4 Sounds has a duty of care for the private and confidential information provided to us by members. This is inclusive of but not limited to general personal information (contact information, financial information and similar), health, identity, personal issues, mental health, life events, or any struggles or grievances they are experiencing at the studio.
PERSONAL INFORMATION & A4 SOUNDS STAFF
A4 Sounds operates under the strictest confidentiality relating to any private information and will not share this information with other members and only with relevant staff members as required in order to fulfil their roles within the organisation. If any issue arises with sensitive information, it will be communicated to members what information is required, for what purposes, and who will have access to it prior to obtaining. No information will be stored unnecessarily on shared systems. Examples may include financial information stored only on our banking system or payment system for purposes of paying artist fees or processing membership fees, these will be known to appropriate administration staff only.
If a member shares information with a member of staff related to any personal issues, experiences or grievances, this information will remain confidential and shared only with appropriate staff where relevant and where appropriate. In instances where further action may be required this will be discussed with the member in advance.
PERSONAL INFORMATION & STUDIO MEMBERS
Please be aware that many members for different reasons will not want to share their private information with you or a group of members, and this should be respected. Each person is accessing the studio for their own reasons, for some it may be to find new friends, peers to collaborate and learn with, and for others it may just be the place they come to work and they may want to keep their personal life separate. Any and all reasons are valid and should be respected.
We ask that all members be mindful of this and only request information when it has been established it’s ok to do so, and only share information they feel comfortable sharing.
Further to this, please be aware that some questions may be harmful to others and impact negatively upon their mental health.
We understand that everyone is learning and building knowledge and sometimes we make mistakes due to a lack of awareness at different times in our lives. The information provided here is not intended as a way to ‘shame’ or ‘police’ conversations or questions but more so to ensure we can provide a safe and supportive environment for persons with a diversity of identities and/or experiences and do our best to avoid harmful behaviour that impacts others ability to work at the studio.
We encourage everyone if they have questions about identity inclusive of ethnicity, gender, sexuality, disability, health, or culture to research online and access online resources as a first port of call. Please do not expect individual members to educate you on specific topics or to share personal information about their experience unless the person has expressed clearly and directly that it is ok to do so.
Please also be aware that some members may speak openly in certain contexts, a workshop, a discussion or any space where the conversation has been planned and they have opted in. This does not mean that they will be willing to discuss the same topics outside of these contexts.
COMMUNICATION
GENERAL
Our modes of communication are designed to
- Ensure the privacy and confidentiality of members information
- To be an efficient way to communicate and share information to a large number of individuals accessing the information at different times
- To be as accessible as possible to a large number of individuals using the studio in different ways and for different purposes
- To keep the time and labour required to share information to a minimum, and maximise the available time for developing supports for the studio, improve upon the studio structure, and programme new activities throughout the year
Please be aware that A4 Sounds Staff work part-time, 1 or 3 days per week and as such do not have the capacity to maintain multiple streams of communication. To this end we endeavour to store all information in the one place so that members can access in their own time, search for information they may need as needed, avoid unnecessary waiting times for clarity on common issues or questions, and to ensure that personal time and spaces are not encroached unnecessarily.
A4 Sounds will only communicate with members via email and on the members forum, unless it is an emergency or we are working directly with an artist on events or workshops.
MEMBERS FORUM
The members forum is designed as a go to place to access key information about studio use and its facilities and as a resource for members to share information, ask questions, and collaborate with other members.
The forum is designed to protect personal information such as email addresses and phone numbers to ensure the safety of all members and that consent to share is maintained.
The forum is designed to be searchable, where we can post how-to-guides, general information for all members to access in their own time and as needed.
The forum is designed to be a time saving space for members. We understand at the beginning of membership there is a lot of information to learn and process. Having a space to access this information as needed, as a reminder, or when getting familiar with a new facility saves all members time. Instead of emailing and waiting on a response for common questions, instead they can search and download any documents or toolkits, or review any discussions as needed.
A4 staff have spent some time developing toolkits and other information which is beneficial for developing a professional artist practice. We will post upcoming opportunities for funding, residencies and jobs which we receive and learn about. We will also post places to source materials and so on as we find them or resources we also find useful.
As with any resource it becomes stronger and more useful for everyone when it is collectively built. We encourage everyone to share information they find useful such as websites to source materials, opportunities, upcoming events and exhibitions and so on.

GROUP EMAIL - MEMBERS GOOGLE GROUP
The A4 Sounds member Google Group is used by A4 staff to share important information. We use this sparingly to keep A4 members up to date on vital information.
RESPECT
RESPECT FOR MEMBERS
The safety and wellbeing of our members is of the utmost importance to us, this is inclusive of their mental health, physical health, access needs and general safety for the duration of their membership period.
We will not accept any behaviour towards other members which is deemed to negatively affect their ability to access a peaceful, supportive and safe workspace, participate in studio activities, or access information and supports, either onsite at our studio, through our online activities or on off-site excursions. Any behaviour by members that is deemed to infringe on the needs, safety or wellbeing of other members will not be tolerated and will result in our disciplinary procedure being followed. A4 Sounds reserves the right to end memberships immediately without warning if deemed appropriate, this may include but is not limited to:
- Verbal abuse.
- Physical abuse.
- Sexual abuse.
- Any bullying, harassing or threatening behaviour of any kind.
- Any discriminatory behaviour including sexism, homophobia, racism, transphobia or ableism.
- Refusal to follow any health and safety rules.
- Any use of members personal property, including belongings, materials or equipment without permission.
- Any damage to or theft of members personal property including belongings, materials or equipment.
- Any behaviour which prevents other members from participating in studio life, activities, working independently, or accessing supports and resources.
RESPECT FOR STAFF
A4 Sounds employs a small staff team who provide support to artists, manage the day to day running of the studio and deliver its public programming on a part time basis. This means that time is a limited resource.
We will not accept any behaviour by members which is deemed to make the work of our staff more difficult or affects their ability to carry out their roles. This may include but is not limited to
- Having to clean or tidy up unnecessarily after individual members.
- Having to reiterate the rules of the studio repeatedly to individual members outside of an understandable and expected learning curve
- Purposefully refusing to follow rules on a regular basis.
- Creating an unfriendly or toxic working environment for staff and members.
The safety of our staff is of the utmost importance to us and this is inclusive of their mental health, their physical health, their access needs, and their general safety while carrying out work on behalf of the studio both onsite and offsite. Any behaviour by members which puts the mental or physical health of our workers at risk will not be accepted and memberships will be ended immediately if deemed appropriate. This may include but is not limited to
- Verbal abuse.
- Physical abuse.
- Sexual abuse.
- Refusal to follow any health and safety rules.
- Any behaviour which prevents staff from carrying out their responsibilities, increases their workload unfairly, and makes the staff member feel uncomfortable or unsafe.
- Any bullying, harassing or threatening behaviour of any kind.
- Any discriminatory behaviour including sexism, homophobia, racism, transphobia or ableism.
RESPECT FOR VISITORS
A4 Sounds has a public facing arts programme of exhibitions, events and workshops. At different times throughout the year there will be members of the public accessing our gallery and studios. All visitors to A4 Sounds are to be treated with respect and dignity at all times.
We will not accept any behaviour from members which negatively impacts the experience, wellbeing or safety of visitors to A4 Sounds. Any behaviour which is deemed to negatively impact the safety and wellbeing of visitors will result in our disciplinary procedures being followed. A4 Sounds reserves the right to end memberships immediately without warning if deemed appropriate, this may include but is not limited to:
- Verbal abuse.
- Physical abuse.
- Sexual abuse.
- Any bullying, harassing or threatening behaviour of any kind.
- Any discriminatory behaviour including sexism, homophobia, racism, transphobia or ableism.
- Any behaviour which prevents visitors from participating in our arts programme activities and wider community.
PLAY NICE IN PUBLIC
A4 Sounds has a strict equality policy and we reserve the right to cancel memberships immediately if we feel a members’ behaviour in public (both online and offline) reflects negatively on the studio. This may include but not limited to public displays of sexism, homophobia, racism, transphobia, ableism or any behaviour which promotes discrimination against another group, and/or any behaviour which is deemed bullying or harassment of individuals or groups.
FEEDBACK
)As an organisation we are constantly learning and building our knowledge in order to meet our goals in providing the best possible environment for staff and member artists at the studio. To this end we welcome feedback around members’ experience of using the studio and resources, and/or feedback or knowledge sharing around issues we may have overlooked regarding access, training, learning or similar.
We have a number of mechanisms available for members to share feedback or point us in the right direction of any knowledge gaps we may have. These include anonymous mechanisms.

REPORTING PROBLEMS OR GRIEVENCES
We expect all members to familiarise themselves with and adhere to the rules of the studio. However we understand that everyone will have different experience and understanding of using a shared space, and as such an initial learning curve will be required to become fully familiar with the studio culture and community.
We ask that all members are supportive of new members who have joined who are learning about the studio, its culture and rules of use. In most cases a friendly reminder of the rules is all that is necessary to dissipate any annoyances or misunderstandings which may have arisen.
Below are options and procedures in place for different types of grievances

If you notice a member not adhering to day to day rules or they need support:
Please assume the best, and that the person is learning, and be gentle and respectful when communicating with them
In the case of general navigation, storing of works in progress, tidying up shared spaces, share information they may not be aware of
For all other queries or issues, please direct the person to a member of staff
If your experience of an individual, or group of individuals is a repeated disregard for studio rules which is impacting your ability to access a safe, clean and supportive space, the following approach may be taken to report the behaviour to a member of staff:

Examples of how an issue may be communicated:
General Problem
I have noticed over the past three months that members are not following the rules of the screen printing, specifically screens are not being stripped after use. When I attempt to use the facility I am finding that I will have to spend some time cleaning myself, and if a screen has been left for a long period of time, this process is quite laboursome and difficult for me. I’m finding it quite frustrating as I always decoat my screens after use, yet anytime I need to print again I lose a day or two scrubbing. Is there something which can be done to remind members to clean their screens when work is completed?
Individual Member or Group of Members
I use the ceramics facility regularly for my work. At the end of the day I ensure that all shared tools are cleaned and put back, any materials I’m using are packed away and I move any works out onto the storage area. Over the past two months I have noticed x person is consistently leaving the facility in a mess. Tools are left out and not cleaned, works are left out on shared workbenches etc. This means myself and others using the space have to spend an hour cleaning and clearing the area, and moving artworks we are afraid of damaging to storage spaces, before we can use it. I have mentioned it a couple of times to the person that it is a shared resource and members are required to tidy up at the end of the day, to ensure the space can be used by others. They seemed to understand initially and I pointed them in the direction of the ceramics toolkit in case they weren’t aware of the rules, but they have continued to behave in the same way. At this stage after a lot of reminders it feels as if they don’t care about the rules and that it is a shared resource. Can you speak to the person and remind them of the rules please?
I use the quiet room mostly when at the studio as I find it helps me focus better. If I don’t have my headphones I find the other shared spaces a bit too loud. My understanding of this space is for the most part it should be quiet and it shouldn’t be used for chatting and hanging out during the day. I have noticed over the past month that x,y and z are using the space more, which is obviously ok, however they engage in long conversations and I find them quite loud and disruptive. I do not want to get anyone in trouble or cause a conflict, but can you reiterate the rules of the space or advise them of a better area to use if they need to collaborate.
Interpersonal Conflicts Not Related to Studio Use
In a shared space used by lots of different people, day-to-day conflicts may arise, but it is not the responsibility of A4 Sounds’ staff to mediate interpersonal disputes.

MASKING POLICY AND RESOURCES
AIRBORNE DISEASES POLICY
Airborne Diseases Policy
The Covid-19 pandemic is ongoing and seasonal flus and other respiratory infections are worsening each year. To protect all members and visitors from becoming sick and to help lower the risk of anyone developing longterm illnesses such as long covid, we are continuing to use safety precautions in the studio.
These rules have implemented to keep all members using the studio safe and are based as much as possible on up-to-date best practice and guidelines, as well as being informed by consultation with studio members, advocacy groups and others.
General:
- Everyone is at a high risk of developing long covid.
Long covid is a serious disabling disease. Every exposure to covid-19 increases your chances of developing long covid significantly. - In addtion to yourself, please always keep in mind the safety of others.
While everyone is at a high risk, members who are sick/and or disabled are at an extremely high risk of becoming seriously ill, becoming hospitalised and in come cases becoming ill is life threathening.
Everyone’s behaviour and actions will impact on the health and wellbeing of approximately 70 individuals accessing the studio, so let’s do our best to keep each other safe. - Privacy & Confidentiality
The confidentiality of members personal information is to be respected at all times. Any information shared with A4 Sounds staff relating to health or other issues will always remain confidential between the member and relavent staff only. It is not appropriate for members to seek private information from other members under any circumstances, including information relating to their health and/or disability. If you see another member not wearing a mask, please assume an exemption has been granted by A4 Sounds and respect their privacy.
Health Checks:
- Regular Testing
We encourage everyone to test regulary with antigen tests for the flu and covid, especially for the days following attending a large gathering such as a party, festival, or following a flight. - Do not come into the studio if you are feeling newly unwell.
This includes symptoms of a cold or flu (fever/high temperature, cough, runny nose, aches and pains), or symptoms of Covid-19 (fever/high temperature, cough, loss of taste/smell, or shortness of breath).
Traveling To The Studio:
- We encourage those who are able to, to walk or cycle to the studio, and those using public transport to wear a mask.
Entering the Studio:
- Put your mask on before entering the building
- Sanitise your hands
There is a sanitation station at the front door by the sign in log. - You must wear a high quality, un-valved mask
Please bring your own mask. FFP2 grade masks are our minimum requirement. If you forget to bring one, they can be purchased in the pharmacy across the road, or purchased from a member of staff for €3.
Low quality masks including cloth and surgical masks are not permitted to be worn, unless an exception based on accessibility needs has been granted. - Sign in and out when you arrive and leave
There is a logbook provided at the front door.
Working at the Studio:
- Please always wear a facemask while indoors
This includes all workspaces, facilities, bathrooms, kitchen areas and hallways.Along with handwashing and respiratory hygiene, the wearing of facemasks is recommended to diminish the risk of spreading airbourne diseases when indoors with others for prolonged periods. - Practice good hand hygiene
Wash hands properly and regularly, especially: after coughing or sneezing, after toilet use and before eating. Use the hand sanitising stations provided in each room. - Air Purifiers
Air purifiers are in all shared workspaces and facilities upstairs. They should be turned on when the first person arrives at the studio and remain on for the duration of the day. Please check and ensure the air purifiers are operating when you are using a workspace or facility. - Air Ventilation
In addition there are air vents in the larger studios that provide air circulation at all times. Smaller studios and single room facilites the windows should be opened for 10-15 minutes intervals to circulate fresh air into the building as needed. In summer months, windows can be left open if preferred. In winter months when its much colder, as the airpurifiers clean the air five times per hour, windows can be opened once or twice a day. - Use the garden area for breaks
Avoid congregating at potential bottlenecks like the kitchen or corridors. Use the yard for chats and breaks.
Eating at the Studio:
- Restricted kitchen access
Food can be prepared or heated in the kitchen area, but must be eaten outside in the yard. The seating area of the kitchen remains restricted. - No food or beverages to be consumed indoors
The general rules of the studio prohibit the consumption of food and beverages in all facilties and shared workspaces for health and safety reasons to prevent the ingestion of chemicals and harmful materials, and to ensure areas are kept clean and tidy for others preventing damage to artworks and materials (fabrics, prints etc). In addition to this we want to be respectful of everyone using the space and keep smells and odours from particular foods and drinks to a minium and to kitchen area only. Since 2020 this has been extended to the entire building including hallways and kitchens. All food and beverages (with the exception of water in closed bottles or keep cups) should be consumed in our garden area during breaks.
Mask Exemptions:
A4 Sounds understands that accessibility is broad and this includes persons who cannot wear masks for different reasons. We will accommodate members who this applies to. Please discuss this with our member engagement officer either in person or via members@a4sounds.org. All information shared or discussed will remain confidential between the member and A4 Sounds staff.
Communication:

WHY WE MASK
We mask because we do not want our member artists to get seriously sick.
We mask because disabled and sick people have asked us to.
We mask because we are the only artist studio in the city that is affordable to lower income artists and sick and disabled artists are more likely to be surviving on extremely low incomes. This is due to the cost of healthcare compacted by obstacles to earning income. This is further compounded by the cost of living crisis everyone is experiencing. Therefore, we are the only artist studio in the city where many sick and disabled artists can afford to work and feel safe working.
We mask because our artists have expressed to us that this simple act of solidarity has had a massive positive impact on their mental health and their motivation to continue to work in the arts. We have several higher-risk members. We cannot break confidentiality and name people but please do not underestimate the impact that your small act has on those around you. It has not gone unnoticed.
We mask because audiences have expressed to us that we are the only arts and events space in the city they feel safe and comfortable visiting. As artists and arts workers we should strive to make our work and events as accessible as we can when we can. Providing opportunities for sick, disabled, and/or covid cautious persons to engage with our programme and attend events in person is access we can easily provide and will continue to.
We mask because we are anti-capitalist, feminist and we stand in solidarity with disabled people, who have again been left behind in the rush to ‘get back to normal’. There is no way for us to stand over removing our masking policy while adhering to our ethos. This is ethos is stated on our website and informs how we support artists through studio provison and all our public programming.
WHERE TO GET MASKS
WHAT TYPE OF MASKS SHOULD YOU BUY?
Based on the latest information available we require all members to wear a high quality un-valved respirator (grade FFP2/FFP3) while inside our studio. These types of masks can be found online at the links provided.
It is important to consider:
- Filtration: Covid (and many other illnesses) are airborne. This air needs to be filtered which is why a respirator with FFP2/FFP3 grade filtration is necessary.
- Fit: The seal of the mask on your face is just as important as the filtration; if the seal is compromised pathogens can pass to and from yourself and the air around you. Watch this video to see how to conduct a fit test on your mask.
– Tip: to help get a good seal, mask tape works really well! - Comfortability: The best mask is not only one that fits well but one that you can wear for as long as necessary; there are many mask shapes and sizes – ones with ear loops/head straps etc – if you’re finding one type uncomfortable try another style to find one that suits you. Sample packs can be bought from some sites.
- Affordability: We understand that masks can be costly, which may cause issue for some members. Websites often run discounts on select masks, and some offer cheaper prices on bulk orders – in this case it may be useful for members to go in on an order together.
Alternatively if affordability is still a concern, Mask Bloc Éire is a great resource that is ‘pay what you can’. This allows those that need to, get high quality masks for free. It is recommended to donate the cost of shipping, and if you have the means, to donate something towards the costs of these masks.

Add Connections/ Send Friend Requests
- Click the MEMBERS button on the left navigation bar. This will take you to a list of all members of the studio.
- To add a connection > Click CONNECT under their profile image. This will send a friend request to that person
To Accept a friend request
Click My Profile > Click Connections > Click Requests
Visit & Message Connections
This tab will show you a list of studio members’ profiles you are connected to. Like friends or followers on other social media websites.
- Click a profile to visit.
- Click the Message Button to send a direct message to individual members
GROUPS
Your Groups
The groups tab on your profile will show you a list of groups you are a member of.
To join a group
- Go to the left navigation bar > Click the A4 GROUPS button. This will take you to a list of all groups on the forum.
- From the list > click into the group you would like to join
- Click the Join button*
*For private groups you will need to send a request to join, which will be accepted by the organiser of that group
To Create a Group
You can create groups with and for other members. They can be private or public if you want. If you really want to start a reading group, a skill swap group, film group, music group etc work away!
- Click the CREATE A GROUP button
- Add the group name, and a description of what the group will be for/about.
- Click Create Group and Continue
- Select the different settings.
– Use public setting so all members can join. In some cases a private group may be more appropriate, depending on the topic - Select Group Type
– Group Type: Art Gangs
– Parent Group: A4 Gangs - Click yes for a forum
This will be the discussions tab in the group for information sharing - Add banner & profile images – You can also do this later
- Directly Invite members
If there is already a few people interested you can directly invite them in this section – You can skip and do this later too - Click Next on the ‘BuddyMeet Section’
This will set up a meeting space for virtual meetings – similar to zoom – the group can use. Great for collaborating, accessibility and meeting up with collective members etc - Click FINISH
Your group will now show up on the main group page
You can change settings at any time by clicking > MANAGE
You can promote members to organisers etc etc
Or delete the group if no longer needed.
PHOTOS
Here you can add photos to your profile and create albums

Click Create Album > Add Name of your album > Select Privacy from drop down menu

FORUMS
By Clicking the Forum tab on your profile you will see all the activity and discussions of forums you are subscribed to.
To Access All Forums
- Click Forum Button on the left navigation bar.
- Scroll down you and will see all discussion activity in a list, in the order of most recent
They are labeled by group type also
To Subscribe to a forum
Subscribing means you will receive updates
- Click the Subscribe Button and you will receive updates by email and on your profile
- You can unsubscribe at any point in the same way.
You can change how you receive updates under settings on the left navigation panel
To start a discussion
- Click NEW DISCUSSION Button
A pop up window will appear:
- Add Discussion Title
- Type your message / info
- Add images/ gifs etc using the buttons at the button
- You can opt into receiving notifications of replies if wanted
- When finished > CLICK POST
If you want to edit your post > hover over your discussion > click the 3 dots > edit
To Join a discussion / Reply to a discussion
Click Reply > Enter reply to the pop up window > Click POST
